Every returned order required a long chain of manual steps: preparing a return slip, generating a credit memo, updating the journal, recording the sales return and allowance, adjusting inventory, updating accounts receivable, and posting to the general ledger. Each step lived in a different enterprise application, so staff were constantly re-entering the same information across systems. During seasonal sales, when return volume surged, this manual workload consumed a disproportionate amount of staff time and slowed down the whole process.

The Solution

We built an RPA bot that connected directly to the client's enterprise applications and took over the entire returns workflow end to end. Here's what got automated:

  • The bot generated a standardized return slip, logged it in the enterprise system, and emailed it to the warehouse for confirmation.
  • Once the warehouse confirmed the return, the bot created and processed the credit memo automatically.
  • It updated the journal, processed the sales return and allowance, and filed the credit memo and journal entries together.
  • Inventory records were updated in the enterprise application, along with the inventory sub-ledger.
  • Accounts receivable was updated and reconciled against its sub-ledger.
  • The general ledger was updated and processed automatically.
  • At every step, the credit memo file was updated to confirm that stage was complete.
  • A final summary, with the updated credit memo attached, was sent to the subject-matter expert for review.
